Handling of Personal Information

LINE Corporation (hereinafter "LINE", or "we") will acquire each applicant’s name, date of birth, age, gender, address, telephone number (including mobile phone number), email address, any information stated in a resume or CV, and any other information that can be reasonably used to identify a specific individual (hereinafter “Personal Information”), as specified below. We consider the protection of Personal Information to be one of the most important management issues as a personal information handling operator.

LINE will act in compliance with social norms such as the laws and regulations and internal rules, etc. and make efforts to properly protect Personal Information. In addition, we will review our internal rules along with changes in social norms in order to continuously and constantly protect Personal Information.

Please agree to the following before applying for this position. We will comply with the Act on the Protection of Personal Information and any other laws related thereto for the handling of Personal Information.

 

Scope of This Document

This document applies to all Personal Information we acquire from applicants.

Acquisition of Personal Information

LINE will acquire Personal Information when:

(1) LINE directly acquires Personal Information

In the event that applicants provide Personal Information, LINE directly acquires the same when it is provided through a medium such as a document, or orally, etc.; and

(2) LINE indirectly acquires Personal Information

In the event that Personal Information is provided by a third party in accordance with the laws and regulations or your consent, etc., LINE indirectly acquires the same.

Please be advised that we may not be able to proceed with recruitment activity if Personal Information is not provided.

Purposes of Use of Personal Information

Recruitment Purposes

LINE will use applicants’ Personal Information for the following purposes:

(1) Deciding whether the applicant matches with the character, skills or experiences etc. we are looking for during our screening and interview process;

(2) Communicating with the applicant as part of the application process, including, without limitation, scheduling interviews;

(3) Verifying and reviewing information supplied by applicants;

(4) Formulating recruitment data analytics;

(5) Making internal job opening referrals;

(6) Collecting applicant feedback on the recruitment process;

(7) Providing information for various events regarding recruitment; and

(8) Sending goods associated with participation in internships.

 

Onboarding Purposes

In the case that an applicant joins LINE, we will use such applicant’s Personal Information for the following purposes:

(1) Conducting purposes necessary for human resources/labor management.

Delegation of Personal Information Handling Responsibilities

LINE may delegate the handling of Personal Information to subcontractors (including subcontractors located outside of Japan) only to the extent necessary to carry out the purposes of use therefore.

Restrictions on Use of Personal Information

LINE will not handle Personal Information beyond the scope necessary for carrying out the purposes of use therefore, except for the following cases:

(1) When consent is obtained from the data subject;

(2) When so required by laws and regulations (including foreign laws);

(3) When there is a need to protect the life, wellbeing or property of an individual (including the property of a corporation or other organizations; the same shall apply hereinafter), and it would be difficult to obtain consent from the data subject;

(4) When there is a special need to improve public wellbeing or promote the healthy development of children, and it would be difficult to obtain consent from the data subject; or

(5) When there is a need to cooperate with a national governmental organization (including foreign governmental organizations), a local government (including foreign local governments), or a person entrusted thereby with performing the functions stipulated by laws or regulations, and obtaining consent from the data subject may interfere with the performance of the said functions.

Moreover, LINE will take appropriate measures to prevent any use thereof other than for the purposes stated in “Purposes of Use of Personal Information” above.

Restrictions on Provision of Personal Information

LINE will not provide Personal Information to any third party, except for the following cases:

(1) The cases set forth in items (1) through (5) of the preceding paragraph;

(2) When the Personal Information is provided together with the entire or partial delegation of the handling thereof within the scope necessary to carry out the purposes of use therefor;

(3) When the Personal Information is provided in accordance with the succession of business by another entity, such as through mergers, company splits or business transfers; or

(4) When the personal data jointly used with a specific party is provided to the said specific party, and the fact thereof, the items of the personal data subject to joint use, the extent of the joint users, the joint users’ purposes of use, the name and address, and the name of the representative (in the case of an entity, the name and address of the person or entity responsible for the management of the said personal data), are notified to the data subjects in advance or are made available for subjects to know without difficulty.

Joint Use of Personal Information

Personal Information may be used by LINE jointly with the joint users, located both in Japan and outside of Japan, in the manner prescribed below. In such cases, we will execute non-disclosure agreements with the parties that will jointly use the Personal Information and take all legally necessary measures. For more information about cross-border transfer, please see “Information Provision Regarding Cross-Border Transfer” below.

The parent company of LINE Corporation and consolidated companies and affiliated companies by equity-method of the parent company of LINE Corporation;

Joint users’ purposes of use:                         
The purposes listed in “Purposes of Use of Personal Information” above.

Information Provision Regarding Cross-Border Transfer

The parties to whom LINE provides Personal Information include third parties such as subcontractors, and subsidiary and affiliate companies located in a country or region other than the country in which the data subjects live.

Please refer below for information related to the system to protect Personal Information within the countries or regions where the third parties to whom the Personal Information is provided are located. In this case, “LINE” shall be read as “we” or “us;” and “personal data” shall be read as “Personal Information:”

In addition, any third party to whom personal data is provided is required to comply with the system related to the protection of personal data of the country where such third party is located.


For the smooth operation and management of LINE’s business, it may be necessary for LINE to provide another third party with personal data. In the event of the addition of any country or region where such third party to whom LINE provides personal data is located, LINE will notify the Employee thereof by appropriate means such as email.


LINE’s data centers are based in a country or region with a personal data protection legal system equivalent to that of Japan (such as the European Economic Area or any country or region deemed by the European Commission to secure a sufficient level of protection) or in the member countries of The APEC Cross-Border Privacy Rules (CBPR) System. Moreover, although the personal data held in the said data centers may be accessed from a third country without a personal data protection legal system equivalent to that of Japan, even if the personal data is accessed from such country, LINE will take necessary measures to pursue appropriate protection of the personal data consistent with LINE’s security standards, including obliging appropriate security management of the companies to make such access by means of a delegation agreement, etc., to manage and supervise the same, and to take encoding measures in the course of access to the personal data.

Measures for Managing the Security of Personal Information

LINE will take necessary and appropriate measures for managing the security of Personal Information, including management of access to Personal Information, measures to prevent unauthorized access and measures to prevent leaking, loss or damage of Personal Information.

Furthermore, we regularly review our management system in order to guarantee that the said measures for managing the security of Personal Information are taken in an appropriate manner.

LINE will store application documents, such as the resumes or CVs that applicants provide to us, strictly in compliance with internal rules regarding document management stipulated by LINE, and dispose of the same after a policy compliant retention period in an appropriate manner. Please note that application documents will not be returned.

Disclosure / Revision / Deletion

Applicants may request, via a method stipulated separately by LINE, disclosure of the Personal Information we collect, except for cases falling under any of the following. Please note that a prescribed fee for disclosure will be charged for each request.

(1) When there is a risk of harming the life, wellbeing, property or other rights or interests of the applicant or a third party;

(2) When there is a possibility of seriously impeding the proper execution of LINE’s business; and

(3) When there is a possibility of violating other laws and regulations.

In addition, applicants may request, via a method stipulated separately by LINE, the revision, addition or deletion (collectively, “Revision”) of Personal Information, as well as the suspension of use or removal (collectively, “Suspension of Use”) of Personal Information. In such cases, LINE may request that documents be submitted to prove the accuracy of the details requested in such Revision; provided, however, that information regarding selection, such as reasons for being rejected, is not subject to these requests.
